Data We Store and How We Use It

Church Members and those in contact with the Church
Your name, contact details and other information you provide to us may be stored electronically or in paper form. To enable us to provide pastoral support to you and your family, the Church may record information which may be regarded as sensitive. This information will be stored securely, either electronically with password protection or in locked storage. This information will not be disclosed to anyone else without your consent, except as required by Law.

Church Membership Database

Your name and contact details will be entered into our Church database which is stored electronically and accessible only by authorised users.  Your details will be removed from our database if you leave the Church. Unless you request otherwise your contact details will be available to other Church members and regular attendees via a passworded web portal. You can ask for all or any of your details to be removed (or amended) at any time.

Employees

We will collect the following personal information – your name, telephone number, address, email address, National Insurance Number and bank account details and characteristics – your gender, country of birth, religion etc.  The personal data you provide in your application will only be held and processed for the purpose of selection processes and in connection with any subsequent employment. This data will only be retained for as long as is permitted by UK legislation and then destroyed.

Lawful basis for processing personal data

We are collecting this information to enable the church to keep in touch with you and provide pastoral support as appropriate. Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest. Other than detailed in this privacy notice we will not disclose your data to a third party without consent. We will also use it to carry out legal obligations in relation to Gift Aid, social security or social protection law, for employment contracts with individuals and so that we can keep you informed about news, events, activities and services.

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:

• To request a copy of your personal data which Village Church, Emersons Green holds about you.

• To request that we correct any personal data if it is inaccurate or out of date

• To request your personal data is erased where it is no longer necessary for us to retain it.

• To withdraw your consent to the processing at any time

• To choose how the church contacts you

• To lodge a complaint with the Information Commissioners Office
